Definition

Activity – means any Camp, Club, Course, Event or Activity organised and operated through any member of Time 4 Sport UK Ltd.

Terms and Conditions – means the terms contained in this document and any other document referred to within it.

Bookings

By booking a place for your child on any Activity these Terms and Conditions.

Time 4 Sport UK Ltd offers an online booking service, once the booking form has been completed and submitted, payment in full received and the booking validated by Time 4 Sport UK Ltd. You will be sent confirmation of your booking via the email address you have provided. Bookings are subject to these Terms and Conditions together with our website terms and conditions which are hereby incorporated.

Receiving email acknowledgement of payment is confirmation of your request to book a child on a Time 4 Sport UK Ltd Activity.

For safety reasons we can only guarantee a place on ANY Activity to those booking in advance. Those that arrive on the day will not be guaranteed a place on the activity.

Before booking please ensure your child is able to attend the Activity and meets the conditions for such Activity as listed on our website.

We welcome 4 year olds/reception children to join in the fun kids' camps. Owing to an OFSTED ruling, reception children (no matter if they are 4 or 5) are only able to stay for a maximum of 4 hours. Please note that, without exception, all children who attend our clubs must be able to use the toilet independently. Children in year 1 and above can attend for a full day with wrap around.

Any parent that drops off or collects their child more than 5 minutes early or late from their booked time will be charged £10+VAT per child for early drop off/late collection.

When dropping off a child at our holiday camp or Trentham Gardens service. Parents/Guardians must drop their children off at the sign in desk, so T4S staff can check your emergency contact details and collection information.

When dropping off/collecting children. Parents/Guardians are not permitted to go past the sign in desk. This is to support safeguarding for your child and other children attending the service. If it’s your childs first sessions and you feel they need time to adjust, we could arrange for an additional member to be present, however an email to info@time4sportuk.com requesting this would need to made prior.

All bookings and payment protection are subject to the right to cancel in writing (by e-mail to us) within seven (7) working days from the date that you receive e-mail acknowledgement of the booking pursuant to the Consumer Protection (Distance Selling) Regulations 2000.

We shall have the right at all times during the provision of our services to exclude your child from partaking in activities if you or your child use any disruptive, disturbing, threatening, bullying aggressive or violent behaviour to us, any of our employees, sub-contractors or any other person or child (or their family members) partaking in, or present during the provision of, the services at any time.

If your child repeatedly disrupts a session or sessions, if we have to repeatedly exclude your child from activities, if you are repeatedly late in dropping off or and collecting your child or in the event of any other unacceptable behaviour on your or your child’s part, we shall have the right to cancel your booking(s) with us in its or their entirety. In this circumstance, you will not, unless we have otherwise agreed, be entitled to a refund for your booking and we will not be liable for any losses, costs or other charges incurred by you as a result of a cancellation of your booking in these circumstances.

Outside of this seven working (7) day period all bookings confirmed by us are final and non-refundable.

Other than if our holiday kids camp venue is closed due to the Coronavirus, we will first offer you an alternative venue. If this unacceptable or not possible we will offer you credit for the total booking made, or a full refund.

Note there is 20% charge if when booking you make an error on which days/times or pay by an incorrect method. This will be taken off your refund.

Promotions

Time 4 Sport UK Ltd from time to time offers promotions in the event that you have been issued with a promotional code this code must be redeemed and used in accordance with both the terms and conditions of that promotion and these Terms and Conditions.

Payment

Time 4 Sport UK Ltd accepts credit/debit card as methods of payment.

Telephone bookings are subject to £2.50 administration charge which we will add to the price at the time of booking and advise you of.

All club bookings must be paid in and full and there are no discounts for missed sessions.

For any child who is below the age of 16 written consent is required from a parent or legal guardian to be provided to Time 4 Sport UK Ltd in advance of the commencement of the Activity. This will be prompted on all Time 4 Sport UK Ltd literature and via tick box online.

Sibling Discount

10% Sibling Discount – a 10% sibling discount is applied automatically to bookings by Family members when booking more than one child with the same surname online for holiday camp activities only. Both children must be booked at the same time and on the same form for the discount to apply. The discount is applied to the sibling (s) not the first child. Discount is only valid for holiday camp bookings.

Child Protection

All Time 4 Sport UK Ltd staff hold current child protection and DBS enhanced certification. In the event that a child makes a disclosure or a member of staff believes that the child is suffering from abuse we will act in accordance with our child protection policy, a copy of which is available on request from Time 4 Sport UK Ltd.

Film/Photography

Time 4 Sport UK Ltd may from time to time take photographs/film of any Time 4 Sport UK Ltd Activity, the use of this data is solely for the purpose of promoting and publicising Time 4 Sport UK Ltd Activities through Time 4 Sport UK Ltd literature, website, press, TV or through our commissioners.

Please be aware that photographs taken at HAF events, holiday clubs and activities are for promotional purposes and may be used by The Hubb Foundation, Stoke on Trent City Council, Trentham Estate, Time 4 Sport UK Ltd and Staffordshire County Council.

Parents/guardians that do not wish for their child to be photographed/filmed must make Time 4 Sport UK Ltd aware of this at the time of booking or in writing before the Activity starts (where possible Time 4 Sport UK Ltd will inform parents/guardians at the start of an Activity).

Time 4 Sport UK Ltd will hold all personal data in accordance with its Privacy Policy.

Personal Property

Time 4 Sport UK Ltd cannot be held responsible for any loss or damage to any personal belongings whilst attending a Time 4 Sport UK Ltd Activity. Please ensure that no valuables are taken to any venue by your children. We recommend that children don’t bring any hand held computers or anything like to our camps. If these items are brought, we will not allow these to be played during the activities.

Health & Safety

A full risk assessment will be carried out before any activity takes place at a new venue. Time 4 Sport UK Ltd staff hold a current emergency aid certificate issued by an appropriate body.

By agreeing to these terms and conditions you are providing consent for Time 4 Sport UK Ltd staff to administer any and all necessary first aid to your child as required at any time.

For safety reasons it is compulsory for all attendees to wear shin pads on a Time 4 Sport UK Ltd Activity which involves football, hockey or another contact sport.

Time 4 Sport UK Ltd reserves the right to refuse permission to participate for any child not wearing shin protection.

It is the parent/guardian’s responsibility to ensure appropriate clothing is worn and/or available for their child for the Activity being undertaken and weather conditions.

Medical information

Any medical conditions that any participant may have must be fully disclosed (1) at the time of booking in writing to Time 4 Sport UK Ltd at registration and (2) to the lead coach on the Activity or at the venue.

Liability

Time 4 Sport UK Ltd has Public Liability insurance with cover provided by Into Sport.

Other than in relation to death, personal injury, or property damage, where Time 4 Sport UK Ltd or its staff is proven to be negligent, Time 4 Sport UK Ltd to you is limited to the booking fee paid by you.

Programme Changes

In the event that Time 4 Sport UK Ltd has to cancel an Activity for any reason, a credit note for the full value of the booking fee paid will be issued to the person who booked or alternative provisions to stage the Activity at another time will be arranged and confirmed to all, if you are unable to attend at the alternatively arranged time and confirm this to Time 4 Sport UK Ltd. Time 4 Sport UK Ltd will issue with a credit note to the full value of the booking fee paid.

In the event of inclement weather, all Time 4 Sport UK Ltd have suitable indoor areas to change, meet and eat lunch, and suitable indoor activities will be organised to replace the outdoor activities at the discretion of Time 4 Sport UK Ltd staff.

Leaving an Activity

Any child that is collected must be collected by a parent or guardian and such parent or guardian. Any child that normally walks home unaccompanied from any Activity will only be allowed to leave unaccompanied if a parent or guardian has provided written consent prior to the commencement of the Activity. Any parent that collects their child more than 5 minutes late from their booked time will be charged £15+VAT per child for late collection.

Complaints

In the unlikely event that you or your child/family are dissatisfied with the service we provide then please in the first instance raise it with the senior coach at the Activity. He/she will deal will the problem in accordance with our policies and procedures.

If the problem is not resolved to your satisfaction then please write to our customer services team info@time4sportuk.com  within 7 days of child’s attendance on the Activity.

We take your views and complaints very seriously and will endeavour to resolve your complaint as quickly as possible. Refunds will only be issued if Time 4 Sport UK Ltd is proven to be in breach of these Terms &Conditions.

Information

The information on this site is updated regularly. However, we hereby exclude any warranties (whether expressed or implied) as to the quality, accuracy, efficacy, completeness, performance, and fitness for a particular purpose of the site.

These Terms and Conditions form the entire agreement between you and Time 4 Sport UK Ltd.

By booking an Activity with Time 4 Sport you are acknowledging your full acceptance of these Terms and Conditions and confirm that you have not relied on any other representation other than those contained within these Terms and Conditions.

If any term within these Terms and Conditions is found to be unenforceable by a competent Court then such term shall be struck out but the remaining terms within these Terms and Conditions shall continue in force to the full extent permitted by law.

These Terms and Conditions are governed by English law and subject to the exclusive jurisdiction of the Courts of England.

Health & Wellbeing Services

Your data is stored on Firm step DMS Cloud before being downloaded and transcribed to the Data Collection and Recording Service.

We review our retention periods for personal information on a regular basis. We are legally required to hold some types of information to fulfil our statutory obligations. We will hold your personal information on our systems only for as long as is necessary for the relevant activity, or as long as is set out in any relevant contract you hold with us.

Email marketing messages & subscription

Under the GDPR we use the consent lawful basis for anyone subscribing to our newsletter or marketing mailing list. An EMS is a third party service provider of software / applications that allows marketers to send out email marketing campaigns to a list of users.
